Gmail: Released on April Fool’s Day way back in 2004, Gmail has come a long way with over a billion users today. Google’s acclaimed email offering has established evidence as a requisite for most of us.
And true beyond doubt, you may use it all day but are you really making the most out of it? We list out a few tricks, tips and time-savers for even the most consummate of Gmail pros.
Enhance Your View
Spice things up with a fun theme instead of waking to a plain-vanilla Gmail. You simply have to choose “Themes” under the Gear menu in the upper-right corner and switch to one of the many ready-made backdrops that appeal to you. You can also upload your own theme if a tailor-made one does not tickle your fancy. You can also play around with the Display Density settings under the Gear menu. Choosing “Comfortable” gives you some nice white space whereas “Compact” is perfect when you need to stuff as much as possible on to the screen.
Bring Some Friends www.gmail.com (And Mail) Along If you are a beginner or have created a second Gmail account and wish to club your old mail and contacts into the system, make your way to Settings> Accounts and Import section and select the “Import mail and contacts” link.
This will let you import your data from popular providers such as Hotmail, Yahoo, AOL and more.
Make Gmail More like Outlook
If you are an Outlook loyalist who has been dealing with corporate mail you entire life, getting a hang of Gmail can feel jaded. The Pane Preview goodies can help ease your transition. Go to Settings> Labs and enable Preview Pane which allows to view full messages to the right (or underneath) your inbox. You can find its numerous options in a drop-down menu just to the left of the Gear icon on the main page once you enable the feature.
Focus on What’s Important
We all have priority messages which we would like Gmail to remember. Google’s email can intelligently figure which messages are more important to you over others. You just have to go the Settings> Inbox section and select “Use my past actions…” radio button which puts Gmail to work dissecting your top messages. You can also go on to choose the “Show markers” button, the “Override filters” button in order to show your important messages first by setting the inbox type at the top of this section. In case you are using Chrome, Safari or Firefox, you can go to Settings> General section and under “Desktop Notification” set pop-up notification to appear only when you receive important messages.
The concept of archiving everything instead of deleting it was introduced by Gmail. The thought behind was you’d have sufficient storage space so that you wouldn’t have to worry about constantly purging big messages. This idea still holds true, and you still do get a fair amount of free space, so if you’re done with a message for good, click the second button from the left (the icon of the box with the down arrow) instead of the trash can. That way, if you find you actually need to access that message again in the future, it’ll be waiting for you under the “All Mail” link in the left sidebar.
But Keep Your Archive in Check
It is 2016 and people are sending bigger attachments each day generous though Gmail’s free storage may be. It’s time to kill space consuming messages once you bump up against your storage limit.
You can do this by clicking on the little down arrow on the far right of the search box, then tick the “Has attachment” box, then enter 10 in the “Size” row and click the bluw magnifying glass button. This will let you see all attachments larger than 10 megabytes. You just have to tick those checkboxes next to the messages that you are certain you do not need.
Then click the garbage-icon to delete them permanently.
Get Organized With Labels And Filters
You can apply a label to each message and manifest the newly created labels as folder-like entities in the left sidebar. While you read the message, just click the Label icon (second from the right) and create a new label or apply an existing one (labels from the left sidebar can be dragged and applied on to a message as well).
Then click on the “More” button on the farthest right and select “Filter messages like these”. Following this choose “Create filter with this search” to open up a world of automation options like applying a “Family” label on all messages from Mom.
Give Up? Buy More Storage
If dealing storage issues hacks you off altogether, then it’s alright to pull off and dish out some buck for more space. You will notice stats regarding your usage in the lower-left corner as you scroll to the bottom of your messages list. You will find a “Manage” link there.
Supposing you are at or close to 100%, you will be taken to a page where you can pay for more storage when you click on that link. You have plans starting at as low as a couple bucks a month and storage space is applied not just to Gmail but to Google Photos and Google Drive as well in case you use those services.
Block Bothersome Bullies
There are people who just cannot take a hint and fortunately you can block anyone or anything from contacting you ever again. All you need is a few quick clicks. On receiving a message from someone you’d want to place an embargo on, go to the upper-right corner of the message and click the down arrow. Then choose the “Block” option. Any message that the blacklisted address sends you will end up right in the spam folder in the future.
A quick way to mark a message as important might be starring it but different messages can denote different levels of importance. For that, go to Settings> General section, look for the Stars section and select the “all stars” preset.
Now the next time you star a message, click the star again and watch as it changes colors.
